Job Description

The Office Administrator plays a key role in supporting both administrative operations and core accounting functions. This position ensures smooth daily office workflow, accurate financial processing (A/P, A/R), and timely reporting to assist leadership in decision-making. The ideal candidate is detail-oriented, organized, and capable of managing multiple priorities in a fast-paced, service-driven environment.
 
Pay: $55,000.00 - $65,000.00 per year
 
Key Responsibilities:
Accounting & Financial Duties
  • Process Accounts Payable (A/P): verify, code, and prepare vendor invoices for payment; reconcile statements.
  • Manage Accounts Receivable (A/R): generate and send invoices, track payments, and follow up on overdue accounts.
  • Maintain accurate accounting records in the financial system; support month-end close activities.
  • Prepare routine financial reports including cash flow summaries, aging reports (A/R & A/P), and expense tracking.
  • Assist with preparing data for annual audits or review and support compliance with financial policies.
 
Administrative Support:
  • Serve as the first point of contact for company communications—answer phones, respond to inquiries, and route calls/emails appropriately.
  • Manage office supplies, coordination with vendors, and general facility needs.
  • Maintain organized physical and electronic filing systems for contracts, financial documents, and project correspondence.
  • Support scheduling, meeting preparation, and travel arrangements for leadership as needed.
  • Assist with preparation of internal communications, reports, and board/leadership meeting materials.
 
Qualifications:
  • Experience: Minimum 2-4 years of office administration and accounting support experience. Construction industry experience is a plus.
  • Strong knowledge of accounts payable/receivable and basic accounting principles.
  • Proficiency in accounting software (e.g., QuickBooks, Sage) and MS Office (Excel, Word).
  • Strong organizational skills with high attention to detail and accuracy.
  • Ability to handle confidential information with discretion and communicate professionally.
