Job Description

Everstaff is seeking an experienced Leave of Absence Specialist to oversee the administration of employee leave and workplace accommodation programs. This position will serve as a key resource for employees and managers, providing guidance throughout the leave process while ensuring compliance with applicable federal, state, and local regulations.

The specialist will partner with Human Resources, Legal, Payroll, Safety/Risk, and external benefits providers to manage complex leave situations, coordinate reasonable workplace accommodations, and support employees returning to work. This role will also identify opportunities to improve processes, enhance communication, and ensure leave programs are administered consistently and effectively.

Temporary position with opportunity for Direct hire.
Pay: $25-30/hr
Schedule: M-F, 8-5

Key Responsibilities
  • Serve as a primary resource for employees regarding leaves of absence, providing timely, compassionate guidance and clear communication throughout the process.
  • Monitor and respond to employee inquiries through designated benefits and leave communication channels.
  • Administer and interpret leave programs in accordance with applicable federal, state, and local employment laws, including FMLA, ADA, USERRA, and other applicable regulations.
  • Manage programs related to short-term disability, long-term disability, state-mandated leave and sick time, PTO, and other applicable absence programs.
  • Act as a subject matter expert regarding employee leave and workplace accommodation practices.
  • Lead the interactive process for reasonable accommodations and work collaboratively with employees, managers, and internal partners to identify appropriate solutions.
  • Partner with managers and Human Resources representatives regarding active leave cases, providing updates, guidance, and reporting as needed.
  • Handle escalated and complex leave situations, using sound judgment and effective communication to resolve concerns and de-escalate challenging circumstances.
  • Coordinate with internal departments and external vendors regarding leave, disability, accommodation, and benefits matters.
  • Work with safety and risk-related teams to coordinate workers' compensation leaves with other applicable leave programs.
  • Monitor employee benefit premium deductions and payment arrangements while employees are on leave.
  • Coordinate return-to-work efforts and assist in identifying appropriate pathways for employees to return safely and successfully based on their abilities, restrictions, and limitations.
  • Identify opportunities to improve leave administration processes, policies, communication, and overall employee experience.
  • Maintain accurate and confidential employee records and documentation related to leave and accommodations.
Experience & Qualifications
  • Bachelor's degree preferred; equivalent combination of education, training, and relevant experience may be considered.
  • 3+ years of experience administering employee leaves of absence.
  • Strong knowledge of applicable federal, state, and local leave and accommodation laws.
  • Working knowledge of FMLA, ADA, USERRA, disability programs, state leave requirements, and related employment regulations.
  • Strong analytical, organizational, and problem-solving skills with the ability to evaluate complex situations and identify appropriate solutions.
  • Excellent communication and interpersonal skills, with the ability to provide empathetic and professional support to employees and managers.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong attention to detail and ability to manage multiple cases, deadlines, and priorities simultaneously.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Must be legally authorized to work in the country of employment without current or future employer sponsorship.
