Job Description

We are seeking a highly organized and detail-oriented Operations Administrative Assistant for our client in Perry! You will provide vital support to the operations department and ensure the smooth functioning of daily operations. 
Responsibilities:
  • Provide administrative support to the operations department, including scheduling meetings, arranging travel, and managing calendars.
  • Prepare and distribute internal communications, memos, and reports.
  • Maintain and update databases, records, and files in an organized manner.
  • Handle incoming and outgoing correspondence, including emails, faxes, and mail.
  • Create and maintain accurate documentation, such as contracts, agreements, and operational manuals.
  • Assist in the preparation of presentations, spreadsheets, and other business-related documents.
  • Track and monitor documents, ensuring timely completion and adherence to internal processes.
  • Collaborate with various departments to ensure efficient coordination and execution of operations.
  • Assist in managing inventory levels and ordering office supplies as needed.
  • Help coordinate logistics for meetings, events, and conferences.
  • Compile and analyze data to generate reports, summaries, and metrics for operational performance evaluation.
  • Identify areas for improvement and make recommendations based on data analysis.
  • Assist in creating presentations and visual materials to communicate operational information effectively.
  • Maintain effective communication channels with internal teams, external vendors, and stakeholders.
  • Act as a liaison between the operations department and other departments within the organization.
  • Provide exceptional customer service to internal and external stakeholders.
Qualifications:
  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data management systems.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Excellent attention to detail and accuracy in record-keeping and documentation.
  • Effective verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Ability to work independently and collaboratively in a team-oriented environment.
